Please submit Termination transaction requests for graduate students ending a Spring 2026 or AY 25-26 Graduate RA/TA/Fellowship appointment. The effective end date should be May 19, 2026. The Termination reason code should be “End of Appointment” or “Graduation”.

The “Graduation” reason code should only be used for graduate students that are graduating in May and not returning as a student in Fall 2026. If they will be graduating in Summer, please use “End of Appointment”. If they will be transferring to another program, please use the Graduate Assistant Reappointment application in HRIS.

The “Graduation” reason code signals the Benefits office to end health and/or dental insurance on May 31, 2026. Terminations should be submitted in a timely manner so the Benefits office can mail COBRA information to the graduate student. If they elect to enroll, coverage begins June 1, 2026. If a termination form is not submitted before payroll cutoff (May 22) the graduate student will have a triple deduction of insurance premiums (to cover June, July, and August) taken from their final June 1 paycheck.

Examples:

Graduate RA/TA that will graduate in May but continue with graduate employment (assistantship/fellowship) for Fall 2026.

  • Do NOT terminate. Reappoint in Graduate Assistant Reappointment application. Move record to different department if needed.

Graduate RA/TA that will graduate in May and not return for Fall 2026 enrollment.

  • Terminate with reason code “Graduation”

Graduate RA/TA that is finished with Spring 2026 employment but will not graduate until Summer.

  • Terminate with reason code “End of Appointment”

Graduate RA/TA that is finished with Spring 2026 employment, will continue as a student, but has no expected graduate employment for Fall 2026.

  • Terminate with reason code “End of Appointment”
