Procedure

After the initial probationary period, faculty will undergo an annual evaluation. The purpose of the review is to advise the instructional faculty member on how well they are meeting departmental and collegiate expectations of the appointment and to provide a basis for renewal of the contract and salary recommendations. The review report should outline substantive suggestions and specific expectations. 

Departments may establish additional requirements for faculty reviews, provided such requirements do not conflict with any university or collegiate policy.

Classroom observation required?

  • For the first six years of the initial Assistant Professor of Instruction / Practice contract and every reappointment thereafter
  • For the first five years of the initial Associate Professor of Instruction / Practice or Professor of Instruction / Practice contract and every reappointment thereafter

Responsibilities of faculty member under review

  • Submit updated CV in (in CLAS Standard CV format), SPOT teaching evaluations, course syllabi, and other relevant materials from the review period to department prior to review 

  • Participate in classroom observation, if applicable 

  • Read and respond, if applicable, to review 

  • Acknowledge review in Workflow

Responsibilities of the reviewer(s)

Using the required CLAS form (linked above), conduct assessment of faculty member's:  

  • Updated CV 
  • Student evaluations of teaching (SPOT evaluations) from review period 
  • Observation and report on at least one class session, if applicable
  • Syllabi for all courses taught during review period 

Responsibilities of the DEO

  • Inform the faculty member under review of the timeline of the review and the materials they must submit
  • Perform review or assign reviewer/committee
  • Oversee faculty review process and ensure review results in substantive assessment and recommendations
  • Ensure department meets the deadline for review submission

Joint appointment handling (if applicable)

  • Faculty member’s MOU should define review procedures

  • In the absence of an MOU, the primary department will lead the review, requesting input from the secondary department

Materials required to be submitted to the Dean’s Office

Submit all materials in FRAP as PDFs.
  • The faculty member's response (if any) 
  • Updated CV 

  • Classroom observation report, if applicable

FAQ

Q: What is meant by “initial contract”?
A: “Initial contract” refers to the original hiring contract at the time a faculty member is first appointed, not their current rank.
 
Q: Does promotion reset the observation timeline?
A: No. Promotion does not create a new “initial contract.” Observation requirements continue to be tied to the original hiring contract.
