As a follow-up to our June communication, I want to remind you of important requirements and resources for international travel, including how to secure your documents and university IT systems while you are away.
The UI Travel Policy requires prior approval for all university business travel, whether domestic or international, and registration in the ProTrav system. Before planning international travel, employees should discuss their plans with their departmental executive officer (DEO), supervisor, or HR representative.
These steps are important as international travel becomes increasingly regulated and we must take the necessary steps to remain compliant, protect sensitive information, and minimize risk to the institution.
In addition, please remind your teams of the International Travel Guidance, developed by the Information Security and Policy Office, the Office of General Counsel, the Office of the Vice President for Research, and University Human Resources. These guidelines are essential for several reasons:
- Compliance: Adhering to these guidelines ensures that our travelers comply with applicable laws and regulations, minimizing legal and institutional risks.
- Security: The guidelines emphasize the importance of data privacy and security, helping travelers protect sensitive information and university systems while abroad.
- Risk Management: By following these guidelines, travelers can effectively manage potential risks associated with international travel, including regulatory, privacy, and IT security risks.
