One-time proposal

This is the most common and preferred type of proposal. This category will include project requests that can be completed with one funding cycle.

Multi-year proposal

This category accommodates departments with technology initiatives for up to four years.

All requests must include the technology's role in instruction, the specific courses that will use the resources, and the enrollments in these courses.

Off-cycle funding requests

Requests for funding after the fiscal year proposals submission window has closed are considered off-cycle requests. These requests must meet the same requirements as all STF proposals with the addition of urgency.

Application process

Any academic unit in the College of Liberal Arts & Sciences may submit proposals. Units with needs that can be effectively met in shared use facilities are encouraged to submit cooperative proposals. Single units may submit more than one proposal (including one-time or recurring projects) and multiple proposals must be prioritized by the DEO.

  • Submission

    Before submission deadline

    Attach a narrative, itemized budget, budget justification, installation & management plan, and DEO endorsement before the submission period has ended.

    •    If your proposal is for hardware refresh, work with your departmental ETS consultant to update the Hardware Refresh spreadsheet. 
    •    Submit proposals for new hardware, software, and student wages. 
    •    Consult with your departmental ETS consultants before submitting any STF proposals. 
    •    Your submission should be a single document (preferred format .docx/.doc), including the updated cover sheet and your proposal narrative. 
    •    If your department has multiple submissions, you will need to fill out multiple STF workflow forms. Please do not combine multiple proposals into one document. 
    •    Instead of the old 'DEO Endorsement' letter, we have introduced a field for the department's DEO to rank the proposals as High, Medium, or Low priority. If they forget to do this, I will re-route the package and notify them via email.  

  • Evaluation

    During evaluation

    Proposals are judged on the basis of four criteria: impact on education and students, justification of need, expected utilization, and DEO priority.

    Off-cycle funding requests must adhere to all STF proposal requirements while emphasizing the urgency of funding needed before the next fiscal year proposal submission window.

Submission contents

Narrative

1-2 pages

The proposal narrative should state the educational needs being addressed, which specific courses will benefit from the technology, and why available resources can't meet this need. Including as much context as possible is advised.

Budget

Itemized list

The budget must include a detailed list of expected expenditures itemized into the following categories:

  • Hardware/other equipment
  • Software and licenses
  • Labor
  • Other expenses (ex. wiring, supplies, etc.)

Budget justification

1 page

The budget justification must explain why the budgeted items are needed to fulfill the needs of the proposal. In particular, the types and level of the major equipment purchases must be justified.

The DEO of the department must provide an endorsement. This step will take place within the proposal's Universal Workflow form.

Installment and management plan

1 page

Please provide a plan for the installation, support, and maintenance of the equipment and/or facility. It must address such infrastructure issues as space, accessibility, furniture, power, and networking, as well as any technical staffing requirements for the installation and the operation of the facility (including resources to provide that staffing).
