Overview
The Registrar provides class lists to instructors through MAUI, the University's student record information system. Faculty should review their class list at the beginning of each semester or session and daily through the first five days of classes or as needed. See Class List Dashboard for information on accessing class lists in MAUI or MAUI in ICON. Instructors may also view waitlist information using the Class List Dashboard.
Instructors also must report student attendance each session by the deadline designated by the Registrar. Attendance is determined by defined types of academic engagement in a course. See Attendance List Management for more information.
Waitlists
Before and during the first five days of class, students add and drop courses online through MyUI, allowing class lists to be updated rapidly. This is also the time period that courses using waitlists have the waitlist in effect. Waitlists may be viewed on the Class List Dashboard.
Instructors may not approve a student to add a course if it has a waitlist in effect, since the waitlist is the only official way to add the class. For most semester-long courses, the waitlist is in effect through the fifth business day after classes start. Students on the waitlist have gone through the appropriate procedure to request the course add and have had any prerequisites needed for the course verified; students requesting to add by another method when the waitlist is in effect might not have the required prerequisites.
Approving course adds
After a course is underway and the waitlist period (if used) has ended, instructors may approve students to add a course. However, instructors also may choose to deny a course add after the period where students may add and drop in MyUI without authorizations (i.e., the the first five days of the semester for semester-length courses). Only instructor or department and academic advisor authorization is needed until the deadline to add courses, which is the tenth day of the semester for semester-length courses. Students officially registered for a course will appear on the class list. ICON access will be granted automatically within several hours or overnight after registering. Instructors should not add students manually to ICON if the student is not officially registered. Instructors may not allow students to attend a course unless they are registered for the course and appear on the class list.
Students who do not wish to earn credit may register as an auditor if given permission to do so by the instructor.
Administrative drops
Students officially registered for a course will appear on the class list. Administrative drops can be used when the student has not met the course prerequisites or other requirements. They can also be used if a student has not attended any class session during the first eight calendar days of the semester (four calendar days of summer or winter session) unless the student has offered acceptable reasons to the instructor prior to the eighth calendar day of the course for beginning the course late. Attendance Class Lists
As a federally recognized accrediting agency, the Higher Learning Commission (HLC) is required to assure that member institutions are meeting their Title IV program responsibilities as well as complying with specific regulations accreditors must enforce as a part of their recognition by the U.S. Department of Education.
The University of Iowa is allowed to require attendance once and still be considered an institution that does not take attendance. To establish federal financial aid eligibility, students must attend all registered classes at least once during the first ten days of each semester. If instructors report a student as not attending, financial aid may be canceled or reduced.
Instructors must report attendance or other forms of academic engagement each semester by the deadline noted on the Registrar's Academic Calendar using MAUI or MAUI in ICON. More information can be found on the Registrar's website under Attendance or Attendance List Management in MAUI Help.
Academic Engagement by a student includes, but is not limited to:
- Attending asynchronous class, lecture, recitation, or field or laboratory activity, physically or online, where there is an opportunity for interaction between the instructor and students;
- Submitting an academic assignment;
- Taking an assessment or an exam;
- Participating in an interactive tutorial, webinar, or other interactive computer-assisted instruction;
- Participating in a study group, group project, or an online discussion that is assigned by the institution;
- Interacting with an instructor about academic matters.
The Office of Student Financial Aid does not want to cancel aid for students who are participating in academic engagement but whose instructors did not verify this activity. If a student participates in only one activity, they should be reported as attending even if this doesn't meet the course expectations. If instructors initially report a student as not attending and then the student participates in an academic activity, the instructor can email osfa-attendance@uiowa.edu to certify the attendance for the student for financial aid purposes.
